How Volunteering India collects, uses and protects your personal information.

This policy explains how Volunteering India, operated by Volunteering Travel Solutions Pvt. Ltd. (“we”, “us”), collects and uses personal information when you visit volunteeringindia.com, contact us, or apply for and take part in one of our programs. What we collect
- Details you give us when you send an enquiry, apply or book: your name, email address, phone number, postal address, nationality, date of birth and the program you are interested in.
- Details we need to run your program: passport and visa details, flight details, emergency contacts, travel insurance details, criminal background checks, parental consent forms for under-18s, and any health or dietary information you choose to share so that we can look after you.
- Payment records: payments are processed by PayPal. We receive confirmation of your payment but never your full card details.
- Messages: emails and messages you send us, and feedback or reviews you give us.
- Website data: if you accept analytics cookies in our cookie bar, we use Google Analytics on our website and booking site to understand how they are used. It collects information such as pages visited, approximate location, device and browser.
How we use it
- To answer your questions and send you the information you ask for.
- To process your application and booking, and to arrange your placement, accommodation, airport pickup and any trips.
- To keep in touch with you before, during and after your program, including in an emergency.
- To send you news and offers about our programs, if you have not asked us to stop. Every email has an unsubscribe link.
- To improve our website and services.
- To keep the financial and other records the law requires.
Who we share it with
We never sell your information. We share only what is needed with:
- Our coordinators, the projects you are placed with, and the accommodation, transport and tour providers who look after you in India.
- Companies that provide services to us, such as our booking and customer management system, email delivery, website hosting, PayPal for payments and Google for analytics. They may only use your information to provide those services.
- Authorities, where the law requires it or where it is needed to protect someone’s safety.
Some of these providers store information on servers outside India or outside your home country. We use providers that protect personal information to recognized standards.
How long we keep it
We keep personal information only as long as we need it for the purposes above. Booking and payment records are kept for as long as the law requires. Some records, such as background checks, consent forms, testimonials and photos you have shared with us, may be kept longer for safeguarding and legal reasons.
Your choices and rights
You can ask us at any time to show you the information we hold about you, to correct it, or to delete it where we no longer need it. You can stop marketing emails with the unsubscribe link or by emailing us. Depending on where you live, you may have further rights under local data protection law. Cookies
Our website sets one small cookie to remember your cookie choice. Google Analytics cookies, which measure how the site is used, are only set if you click Accept in the cookie bar; if you decline, Google Analytics does not run. Your choice also applies on our booking site, book.volunteeringindia.com.
You can change your mind at any time with the Cookie settings link at the bottom of every page, or block and delete cookies in your browser settings.
Children
Our programs are for people aged 17 and over. Applicants under 18 need the consent of a parent or guardian.
Security
We protect your information with appropriate technical and organizational measures, including encrypted connections on our website and booking site. No internet transmission is completely secure, so please do not send sensitive documents by unencrypted email unless we have asked you to.

We may update this policy from time to time. The date at the top shows when it last changed.
