Terms and conditions

These terms are an agreement between you and Volunteering India, operated by Volunteering Travel Solutions Pvt. Ltd. (CIN [vi_cin]), 10 Siri Fort Road, LGF, New Delhi 110049, India (“we”, “us”). By applying for a program or trip, you agree to them.

1. Applying and booking

• To apply, complete the online application and pay the booking deposit: US$249, £179, €229 or A$350. The deposit is part of your program price, not an additional charge.
• We process applications within 7 to 10 days of receiving your application and deposit, and confirm your place by email. Occasionally, for reasons outside our control, it may take a little longer.
• You must give us complete and accurate information, including any medical conditions that could affect your participation.

2. Paying for your program

• The balance of your program price is due 45 days before your program start date. If you book less than 45 days before your start date, the balance is due when we send your placement details.
• Payments are made online through PayPal, by card or from a PayPal account. We do not receive or store your card details. Card payments are subject to PayPal’s own terms, and any dispute about a card transaction is handled by PayPal and your card issuer.
• We may change our prices at any time. A change does not affect a booking that has been paid in full.
• We send your pre-departure information once your program is paid in full.

3. What we provide

Unless a program page says otherwise, your program includes airport pickup on your start date, orientation, accommodation, meals as stated for your program, your project placement, support from our local team at any hour, and help with travel arrangements within India. Program pages list exactly what is and is not included.

4. If you cancel

• Tell us in writing, by email to info@volunteeringindia.com.
• The booking deposit is not refundable if you cancel.
• If you cancel 60 days or more before your start date, we refund 70% of the program price paid, excluding the booking deposit.
• If you cancel between 30 and 59 days before your start date, we refund 50% of the program price paid, excluding the booking deposit.
• If you cancel less than 30 days before your start date, or after your program has started, no refund is due.

5. If we cannot place you, or we cancel

• If we cannot offer you a suitable placement, we refund your booking deposit less a 30% administration charge.
• If we have to cancel or end your program because of events beyond our control, such as natural disasters, civil unrest or government restrictions, we refund the part of the program price that covers the time remaining, excluding the booking deposit and less bank charges of 7%.

We pay refunds within 100 days of confirming the cancellation.

6. Your responsibilities

• Getting the right visa for your stay, and a passport valid for at least six months after your return.
• Travel and medical insurance for your whole stay, which is compulsory.
• Any vaccinations and health precautions recommended for India.
• A clean criminal background check where your program requires one.
• Following the guidance of your coordinator and project staff, the rules of your accommodation, and the laws of India.

7. Ending your program early

We may end your program immediately, without a refund, if you:

• are involved in illegal activity, or have been convicted of a criminal offense before or during your program;
• behave in a way that project staff or your coordinator judge to be threatening or unacceptable, or that puts others at risk;
• use drugs, or drink alcohol at the accommodation;
• gave us false or incomplete information when you applied;
• leave your project without agreement.

8. Weekend trips

Trip itineraries may change, or parts of a trip may be cancelled, because of weather, natural events, strikes, local conditions or other reasons beyond our control. We will offer the best alternative available, but no refund is due in these circumstances.

9. Photos and feedback

You agree that we may use photos and written feedback you share with us during or after your program on our website, in emails and in other promotional material. If you would rather we did not, tell us in writing.

10. Liability

We arrange every program with care, but we are not liable for loss, injury, illness, damage, delay or expense caused by events beyond our reasonable control, or by the acts of third parties. Information on our website is provided in good faith; we are not responsible for errors or omissions, or for the content of other websites we link to.

11. Law and disputes

These terms are governed by the laws of India. Any dispute will be dealt with by the courts of New Delhi, India.
